Last-minute availability promotions can help you fill open dates and boost occupancy rates. Using the StayFi Email Marketing tool, you can quickly create and send targeted campaigns that highlight upcoming open dates to your guest list.

Step 1: Access the Upcoming Availability Email Template

Log into your StayFi account.

In the left-hand menu, select Email Marketing.

Under the Main tab, scroll down to Create a New Campaign and select the Upcoming Availability template.

Choose your preferred layout and click Continue.
Step 2: Customize Your Email Content

StayFi provides default text prompts that you can use or edit to match your brand’s voice.

Under Main Image, upload a photo from your device or select one from your gallery. Choose an image that showcases your area and inspires guests to visit.

Review and update the rest of the email content as needed.
Pro Tip: Add a promo code in the “Book Direct” section to encourage bookings. Be sure to create this code in your PMS first so it works at checkout.
Step 3: Import Properties from Your PMS
Before you can import properties, your property management system must be integrated with StayFi. If it isn’t already, connect it under the Integration tab.

Choose how many properties to feature (up to four).

Click Import from PMS.

For last-minute promotions, search by specific dates — for example, the upcoming weekend or an upcoming long weekend.

Click Search Properties.

Select the properties you want to feature and click Continue.
StayFi will automatically pull in:

Property photos
-
Name
-
Available dates
-
Bed/bath count
-
Guest capacity
-
Average nightly rate
-
Direct booking link (as long as it’s set up in the property’s “Book Again” section within StayFi)
Step 4: Review Property Details
On the left-hand side of the editor, double-check that all property information is correct. You can click into each property to verify details before sending.
Step 5: Set Up Email Delivery

Choose a subject line that will grab attention (e.g., “Your Weekend Getaway Awaits – Limited Spots Left!”).

Enter your Sender Name (usually your business name).

Confirm the “From” email address and domain. If you have multiple connected domains, use the dropdown to select the correct one.

If you want replies to go to a different email, check the box and add the alternate address.
Step 6: Send Your Campaign
Once your email looks the way you want and all details are correct, click Continue to schedule or send immediately.
